Receiving is a quality-control activity, not an administrative afterthought. A missed temperature concern, an unreadable lot number or a vial placed directly into working stock before review can weaken the evidence trail for an entire experiment. Controlled receiving creates a clear decision point: accept, quarantine or reject.
The level of control should match the material and the laboratory’s quality system. A small independent research setting may use a concise receiving log and defined storage checks. A regulated or multi-user facility may require restricted access, a formal deviation record and approval by an assigned quality representative. The principle is the same in either case: no material should enter active use without a documented assessment.
Prepare before the consignment arrives
Start with the purchase record. The person receiving the parcel should be able to compare the delivery against the purchase order, order confirmation or approved requisition without relying on memory. Record the expected product description, quantity, supplier, delivery method and any specified storage or handling requirements.
It is also sensible to establish who may receive controlled research materials. Deliveries left in an unsecured reception area, mixed with general post or opened by untrained staff create avoidable uncertainty. Use a defined receiving location with restricted access where practical, and arrange cover for absences so time-sensitive parcels are not left unreviewed.
For materials requiring controlled storage, receiving staff should know where the item will go before it is opened. Verify documentation, identity and traceability
Certificates of analysis are central to a controlled receiving process. Without that chain, investigation becomes speculation.
Acceptance, quarantine and rejection

Transfer materials to controlled storage
Release into storage should happen promptly after acceptance. Follow the product-specific storage guidance provided for the material rather than applying a universal rule to every peptide or laboratory compound. Storage requirements can depend on formulation, physical form, intended analytical workflow and whether the container remains unopened.
Use a storage map or inventory system that identifies the exact location, such as unit, shelf, rack and box position. This reduces handling time and makes stock checks more reliable.
